Catering Terms & Conditions
Last updated: September 2026
These terms apply to all Holistika Kitchen catering: retreat catering, weddings, celebrations and private events. (If you are booking a place on one of our own retreats, please see our Retreat Terms.) They are here so that we both know exactly what to expect, and so that your event can be given the time, preparation and care it deserves.
1. Booking & Deposit
Your booking is confirmed once you have accepted your proposal and a 30% deposit has been received. Dates cannot be held without a deposit.
The deposit is non-refundable. It secures your date in the Holistika Kitchen calendar and covers menu planning, preparation time, and the other bookings we turn away for that date.
2. Payments
Payments are made in three stages:
- 30% deposit to confirm your booking
- 20% two months before the event
- The final 50% balance 10 days before the event
Prices exclude IVA (10%) unless stated otherwise. Payment details are included with your proposal and invoices.
If a scheduled payment is not received on time, Holistika Kitchen reserves the right to cancel the booking, in which case the cancellation terms in section 4 apply.
3. Changing Your Date
Plans sometimes change. You may move your booking to a new date once, with your deposit carried over, provided that:
- the change is requested by email at least 4 months before the original date;
- the new date is available in the Holistika Kitchen calendar; and
- the new date falls within 12 months of the original date.
A date change requested less than 4 months before the original date is treated as a cancellation, and a new booking and deposit will be needed to secure the new date.
4. Cancellation by You
If you need to cancel, please let us know by email. Payments already made are non-refundable:
- More than two months before the event: the 30% deposit is retained.
- Between two months and 10 days before the event: the 50% paid to date is retained.
- Within 10 days of the event: the full amount is retained.
This reflects the date held for you, the preparation already under way, and the other bookings declined for that date.
5. Cancellation by Holistika Kitchen
In the unlikely event that we are unable to cater your event, we will either arrange a trusted replacement chef to deliver the agreed menu, or refund all payments made in full, whichever you prefer.
6. Guest Numbers
Final guest numbers are confirmed 10 days before the event, together with the final payment. After this point, numbers cannot be reduced: if fewer guests attend, the confirmed number is still charged.
We are happy to add guests up to 48 hours before the event, at the agreed per-person rate and subject to ingredient availability. Any guests added within the final 10 days are invoiced separately and payable before the event. For larger increases, extra staff may be needed, and this will be quoted separately.
7. Dietary Requirements & Allergies
Please share all dietary requirements and allergies at least 7 days before the event, or at the time of adding any late guests. We will make every reasonable effort to accommodate them, but cannot guarantee the complete absence of allergens in a shared kitchen environment.
8. Kitchen & Facilities
The venue must provide a safe, adequately equipped kitchen. Please make sure it is clean, tidy and clear when we arrive, with surfaces wiped down, dishes washed and put away, and space in the fridge, so that we can begin preparing straight away.
If the kitchen needs cleaning before we can start work (for example, after a party the night before), the time spent getting it ready will be charged at €25 per hour.
Holistika Kitchen reserves the right to adapt menus if kitchen equipment or facilities are limited.
9. Travel & Accommodation
Travel is included as outlined in your proposal.
For events running over several days at a venue more than an hour's drive from Mijas, accommodation for the catering team must be provided on site. If this is not possible, €50 per night will be added to cover alternative accommodation.
10. Costs Already Incurred
If you cancel after staff have been booked or ingredients and supplies purchased, any of these costs that go beyond the payments already made may be invoiced.
11. Circumstances Beyond Our Control
If an event cannot go ahead because of circumstances beyond anyone's reasonable control, such as natural disasters, travel restrictions or government regulations, we will first look to move it to a new date. If that is not possible, payments made will be refunded, less any costs already incurred.
12. Your Proposal & Acceptance
Your proposal sets out the details of your event. Where it states different terms (for example, a different payment schedule), the proposal applies.
Payment of the deposit confirms acceptance of these Terms & Conditions, as they stand on the date of booking.
